Job Description: Accounting Assistant.
Job Title: Accounting Assistant.
Effective Date: April 7, 2025.
Department: Accounting.
FLSA Status: Non-Exempt.
Reports To: Controller/Regional Controller.
POSITION SUMMARY:
The Accounting Assistant is responsible for assisting in performing daily accounting for operations including summarizing revenue, accounts receivable, and managing accounts payable and payroll processing.
ESSENTIAL JOB FUNCTIONS: - Interact positively, professionally and politely with all members, guests, staff members, and vendors to promote a team effort.
- Display a service mentality and desire to ensure members and prospective members, staff members and vendors are treated with respect and that their needs are proactively anticipated and met.
- Maintain regular attendance in compliance with Club standards, as required by scheduling which can vary according to the needs of the Club.
- Be knowledgeable of and comply, at all times, with the Club’s standards, policies, and regulations to encourage safe and efficient operations.
- Assist in performing daily operations of the accounting department.
- Function in accordance with established standards, procedures and applicable laws and accounting practices.
- Perform in an ethical and discreet manner when dealing with sensitive financial and member information.
- Perform basic office tasks, including answering phones, responding to emails, processing mail, filing, etc.
- Accurately type, prepare and maintain accounting documents and records.
- Reconcile cash tenders and post of daily charges to member accounts.
- Post member AR payments.
- Prepare bank deposits and process them through the bank.
- Research, track and resolve accounting or documentation problems and discrepancies.
- Provide prompt and courteous assistance to members in answering inquiries and correcting member statements when charging errors are made.
- Distribute collections notices for past due members.
- Follow corporate policy in suspending delinquent members and work with the GM to collect payment.
- Provide prompt and courteous assistance and support to company personnel in accounting inquiries.
- Process weekly check runs and ensuring vendors are paid accurately and on time.
- Balance vendor statements each month to ensure no invoices are missing.
- Maintain records of invoices and payments.
- Verify departmental coding of invoices and ensure managers are following proper accounting procedures.
- Prepare 1099s each year.
- Prepare and post appropriate GL entries.
- Work with the membership director to accurately process new members, downgrades, upgrades and resignations.
- Complete electronic on-boarding of new hires and process pay rate changes and employee terminations.
- Assist Regional Controller with other payroll duties as requested.
- Assist Regional Controller with bank statement reconciliation and other various month end duties.
- Support Regional Controller with special projects.
- Perform other duties as assigned.
EDUCATION/EXPERIENCE/SKILLS:
- High School diploma or equivalent (GED) required.
- Associates degree in Accounting, Finance business or related field preferred or two years of accounting related experience and/or training or equivalent combination of education and experience.
- Proficient in Outlook, internet and accounting applications, POS, knowledge of MS Word and Excel applications.
- Demonstrated ability to calculate figures and amounts for payroll, discounts, interest, commissions, proportions and percentages.
- Must be familiar with generally accepted accounting principles.
- Requires excellent oral and written communication skills.
- Requires a high degree of organizational and administrative ability, especially in terms of problem solving, decision making and attention to detail.
- Excellent team player with ability to work hands on in a fast-paced environment.
- Demonstrated results oriented and capable of working with minimal direction.
PHYSICAL AND MENTAL DEMANDS:
- Requires ability to lift, carry, push, pull, reach, bend, stretch and stoop.
- Ability to sit for extended periods of time.
- Requires ability to lift/move up to 30 pounds.
- Must be able to convey information and ideas clearly and work in a prudent, detailed and organized manner.
- Must be able to work with and understand financial information and data, and basic arithmetic.
- Must be able to evaluate and select among alternative courses of action quickly and accurately.
- Must be effective in listening to, understanding, and clarifying the concerns and issues raised by members, guests, and staff members.
TYPICAL WORKING CONDITIONS:
Work is performed in an indoor setting with moderate noise level in the work environment. Varying schedule to include evenings, holidays and extended hours as business dictates.
