Job Description

Our client is a financial services firm. They seek an Administrative Assistant to join their Parsippany, NJ office.

Responsibilities

  • Provide executive-level support to the BD Director and Strategic Growth Officers
  • Manage complex calendars, coordinate meetings, and handle scheduling across multiple time zones
  • Track and follow up on tasks and action items for the executive team
  • Draft, proofread, and manage internal and external correspondence
  • Serve as a liaison with both internal teams and external stakeholders, including high-level advisors and new recruits
  • Assist with onboarding activities and relationship management for new advisors
  • Support the team with ad hoc projects, research, and presentations
  • Proactively identify ways to increase efficiency and improve team workflows

Requirements

  • Bachelor's degree preferred
  • 1-2 years of experience in wealth management
  • Extremely detail-oriented with strong organizational skills
  • Ability to think quickly, problem-solve, and multitask in a fast-paced environment
  • High level of discretion when handling confidential information
  • Proficiency in Microsoft Office Suite and familiarity with scheduling tools (e.g., Outlook, Zoom, Calendly)
