Job Summary
The Administrative Assistant II works with the Deputy Project Manager in the performance of administrative functions to include but not limited to daily processes, personnel actions, and compliance tracking. The ideal candidate demonstrates strong organizational skills, is a proactive problem-solver, and contributes to both individual and team development.
Responsibilities
· Manage personnel actions including PAFs, resignations, and removal requests; verify request types and ensure timely processing with HR and Compliance.
· Support training operations by documenting training drops, coordinating with Training Managers, and submitting removal requests as needed.
· Conduct monthly compliance audits (GC/FA/Baton/DL); send reminders, update qualifications, and process PAFs for non-compliant staff.
· Assist with roster reviews and clean-up by correcting work location assignments and coordinating with HRIS.
· Track and validate overhead Field Supervisor hours; adjust schedules, process PORs, and ensure accurate timekeeping.
· Coordinate and manage weekly reporting processes, including invoice tracking, submission reviews, and preparation of summary reports for leadership.
· Assist security staff with a variety of administrative processes on an as needed basis.
· Other administrative duties as assigned.
Qualifications
· High School Diploma or GED and 1 year of related experience, or equivalent combination of education and experience.
· Computer software skills to include, Excel, Word, PowerPoint. Experience with electronic HR system software desired.
