POSITION OVERVIEW
The Event Planner will be responsible for planning and executing a range of events, from small meetings to large-scale community programs, ensuring they are impactful, well-organized, and aligned with JewishColumbus mission. This role requires an experienced professional who excels at logistics management, vendor coordination, communication, project planning, and creative problem-solving. The Event Planner will work closely with internal teams, partner organizations, and external vendors to deliver seamless event experience.
ESSENTIAL FUNCTIONS
The Event Planner plays a crucial role in planning and executing high-impact events that strengthen JewishColumbus relationships and advance its mission. The following essential functions define the core expectations for success in this role:
Event Planning & Execution
• Oversee logistics for various event formats, including meetings, panel discussions, fundraisers, large speaker programs, and community-wide gatherings.
• Manage all pre-event planning, day-of execution, and post-event evaluation.
• Develop and maintain project timelines, event checklists, and run-of-show documents to ensure smooth execution.
• Collaborate with partner organizations to co-host events, ensuring clear communication and shared goals.
Vendor & Venue Management
• Identify, negotiate, and coordinate with venues, caterers, printers, AV providers, speakers’ bureaus, and other vendors.
• Manage contracts, budgets, and deliverables with external partners
• Source and coordinate décor needs, ensuring event aesthetics align with the JewishColumbus brand and mission.
Logistics & On-Site Coordination
• Assign and brief internal staff and volunteers on event-day responsibilities.
• Ensure all event logistics (setup, catering, AV, registration, signage) are executed flawlessly.
• Manage RSVP lists, seating arrangements, and guest experience.
• Serve as the point person for troubleshooting and on-the-ground adjustments during events.
Marketing & Promotion
• Work with the JewishColumbus marketing team to ensure event recruitment efforts run smoothly.
• Provide key event details to support promotional materials, invitations, and digital outreach.
• Collaborate on social media and communication strategies for event visibility.
Budget & Project Management
• Track event budgets, ensuring cost-effective planning while maintaining high-quality experiences.
• Identify opportunities for sponsorships, in-kind donations, or cost-saving measures.
• Maintain records of event outcomes and metrics to inform future planning
CRITICAL COMPETENCIES + SKILLS
• Experience: 5+ years in event management, preferably in the nonprofit, philanthropic sector, or corporate event planning. Candidates should have experience leading events that involve stakeholder engagement, funding considerations, and community impact. Experience limited to social event planning (e.g., weddings, private parties) will not be considered comparable.
• Project Management: Proven ability to manage multiple events and projects simultaneously with strong organizational skills.
• Attention to Detail: Highly meticulous with logistics, planning, and execution.
• Business Acumen: Ability to manage budgets, vendor contracts, and negotiate agreements
effectively.
• Creative Lens: Resourceful and innovative in event design, programming, and problem-solving.
• Communication & Collaboration: Strong interpersonal skills to coordinate with partners, vendors, and internal teams.
• Technical Proficiency: Comfortable using event management software, RSVP tracking systems, and Microsoft Office/Google Suite.
• Flexibility & Adaptability: Ability to pivot and troubleshoot effectively in dynamic event environments.
• High Customer Service Orientation: Commitment to delivering exceptional experiences for attendees, stakeholders, and partners.
• Nimble and able to multi-task.
WORK ENVIRONMENT+ SCHEDULE
• Hybrid work environment, with on-site presence required for events and planning
meetings.
• Evening and weekend availability required for key events.
• Some travel may be necessary for venue site visits, partner meetings, or special programs.
