Office Services Associate

Location: Wilmington, DE | Pay Rate: $24 Monday-Friday 830am-530pm

We’re seeking an Office Services Associate to play a key role in supporting daily operations and ensuring a high-quality workplace experience. This multifaceted position involves hospitality, administrative support, facilities coordination, and client service—all crucial to maintaining a polished, efficient, and welcoming office setting.

Position Overview

Reporting to the Lead Office Services Associate or the Client Relations Manager, the Office Services Associate ensures seamless office operations by delivering exceptional support in areas such as hospitality, mail, reprographics, meeting services, and facilities upkeep. Your contributions will directly impact the client experience, the efficiency of internal workflows, and the overall success of the team.

Core Responsibilities

The following key functions outline the areas of responsibility and their estimated time allocation.

Account Management – 15%

  • Serve as the main point of contact between the client and Forrest Solutions, ensuring smooth communication and a strong working relationship.
  • Oversee day-to-day service delivery and address client needs promptly.
  • Ensure the office maintains a professional and polished appearance, including signage and communication materials.
  • Participate in leadership meetings and provide updates on progress, challenges, and improvement strategies.

Process & Procedures – 10%

  • Collaborate on the development of processes, tools, and standards that align with business objectives.
  • Track key performance metrics and ensure compliance with Service Level Agreements (SLAs).
  • Identify and implement opportunities for process improvement using project/change management methods.
  • Maintain the Site Operations Manual/Playbook for accurate operational documentation.

Client Experience & Hospitality – 10%

  • Proactively enhance client satisfaction through effective communication and issue resolution.
  • Conduct regular walkthroughs to maintain a clean, professional, and welcoming environment.
  • Deliver attentive service by addressing guest needs beyond the reception desk, including workspace assistance and visitor support.
  • Promote hoteling and mobile work practices by managing room reservations and workspace coordination.

Facilities Support – 10%

  • Assist with internal moves, meeting room setups, and light facility tasks (e.g., minor repairs, restocking, signage).
  • Support general building maintenance and ensure cleanliness standards are met throughout the day.

Mail Services – 10%

  • Handle mail and package delivery, including internal distribution, outgoing mail processing, and special mailing requests (certified, registered, etc.).

Meeting Room Support – 10%

  • Ensure meeting rooms are clean, set up, and ready for use.
  • Provide support for meetings by assisting participants and maintaining schedules.

Print & Reprographics – 10%

  • Execute print production requests including binding, hole punching, quality control, and duplications.
  • Maintain logs and ensure efficient operation of reprographics equipment.

Training & Development – 5%

  • Engage in regular training through platforms like Cornerstone to stay current on procedures and service standards.

Qualifications

  • High school diploma or equivalent required; college degree preferred.
  • 1+ years of experience in office services, hospitality, or administrative support.
  • Proficiency in Microsoft Office and related applications.
  • Strong communication, organization, and multitasking skills.
  • Commitment to confidentiality and professionalism.
  • Positive attitude with a strong client-first approach.
